FEBRUARY 2024 Job Description—Operations Assistant

This entry level, part-time, hourly position ( average 20 hours per week) provides operational support to Founder and CEO, Sigrid Olsen. Responsibilities are diverse, multi-dimensional and require consistent on-site presence. This is not a remote job.The position requires someone with a balanced blend of interpersonal and organizational skills, who can multi-task, stay calm under pressure and maintain a positive outlook. This is a great opportunity for an individual who is self-motivated, confident, eager to learn and enjoys an entrepreneurial environment with a multitude of daily tasks, with potential for growth. We are a small company, so often it is just the designer/CEO (Sigrid) and operations assistant in the office. The office/warehouse is located in Palmetto FL.

Job Responsibilities

SHIPPING & RECEIVING

  • Receive shipments from factories—count, label and organize inventory in warehouse. Receive PO’s into our computer system, keep accurate records.

  • Maintain neat and productive environment in warehouse.

  • Manage wholesale orders in Apparel Magic system on an ongoing timely basis—allocate, pick, pack and ship to stores.

  • Enter and receive purchase orders into system

  • Work with CEO to manage wholesale shipping calendar, daily weekly, annually, eventually learning how to plan and purchase inventory based on sales projections.

  • Fulfill website orders. on a regular basis. Pick, pack, invoice and ship to retail customers. Manage returns as well.

  • Assist with periodic physical inventory.

CUSTOMER SERVICE

  • Answer phone and email inquiries, including returns, re-orders and general questions.

  • Call accounts as needed to confirm OK to ship, payment terms etc.

  • Call or send reminders for net 30 invoices

  • Field calls for Sigrid.

BOOKKEEPING

  • Update and manage quickbooks on daily basis

  • Deposit checks and record payments from wholesale customers in AM system.

TECHNICAL

  • Learn and maintain digital records on both wholesale & retail software, as well as simple website updates.
